SSL Certificates: Renewal and Billing (Invoice Issuance Timing / Payment Deadline / Handling of Overdue Payments)

4 min read

This page clarifies the invoice issuance timing, payment deadline, and handling of overdue payments for domain name services provided by BESTNET LLC.

※Domains are subject to rules from third-party organizations such as registries and registrars. Final registration availability, recovery availability, and timeframes are governed by third-party rules.
※Time references are based on Japan Standard Time (JST) as a general rule.

1. Key Points #

  • Domain renewal invoices are issued 30 days before the expiration date as a general rule.
  • The payment deadline (invoice due date) is the domain expiration date as a general rule.
  • Registration, renewal, transfer, and other procedures are executed after payment confirmation as a general rule (procedures will not proceed without payment).
  • If payment is not made by the deadline, the domain becomes expired (Expired), and websites, email, and other services may stop working.
  • Recovery availability, recovery period, and costs after expiration vary by TLD, and recovery may not be possible in some cases.

2. Terminology (Terms Used on This Page) #

  • Expiration Date (Due Date): The date when the domain registration expires (renewal must be completed by this date).
  • Invoice: Invoice data issued on the portal for you to pay renewal fees, etc.
  • Payment Deadline (Due Date): The due date of the invoice. As a general rule, this is the same date as the “expiration date”.
  • Expired: A state past the expiration date. DNS, email, and web services may be affected.
  • Recovery Period (Grace/Redemption, etc.): A period after expiration during which recovery may be possible with additional procedures and fees (varies by TLD).

3. Renewal Invoice Issuance Timing #

Renewal invoices are automatically issued 30 days before the expiration date as a general rule.

3-1. Advance Notifications (Approximate) #

As the deadline approaches, we will send multiple notifications (e.g., 30/15/10/5/1 days before).
※Even if you do not receive email notifications, the invoice and expiration date displayed on the portal are authoritative.

3-2. Timeline Example (Expiration Date: June 30) #

Timing Our (Portal) Actions Recommended Customer Actions
May 31 (30 days before) Issue renewal invoice / Send 30-day advance notice Confirm payment method and pay early
June 15 (15 days before) Send 15-day advance notice If not yet paid, payment is recommended at this point
June 20 (10 days before) Send 10-day advance notice If paying by bank transfer, arrange payment early
June 25 (5 days before) Send 5-day advance notice Take immediate action
June 27 (3 days before) If unpaid: Send 3-day payment reminder Complete payment before the deadline
June 29 (1 day before) Send 1-day advance notice Final confirmation
June 30 (Due Date) Payment Deadline Payment confirmation must be received by this date

4. Payment Deadline (Due Date) and Payment Confirmation #

  • The payment deadline is the domain expiration date as a general rule.
  • As a general rule, we execute registration, renewal, transfer, and other procedures after confirming payment.
  • With bank transfers, payment confirmation may occur on the next business day or later due to financial institution processing times. Please allow sufficient time for payment.

4-1. When Choosing Bank Transfer (Guideline for New Applications) #

  • For new applications (orders), payment should be made within 3 days of the application date as a general rule.
  • If payment is not made, the order may be canceled.
  • The domain is not reserved until payment is complete. It may be acquired by a third party after application.

5. After the Deadline (Overdue Processing) #

5-1. What May Happen Immediately After the Deadline #

  • The domain becomes expired, and websites, email transmission/reception, and DNS resolution may be affected.
  • After the deadline, even if renewal is possible, additional feesmay apply (depending on TLD/registry rules).

5-2. Overdue Collection Notices (Approximate) #

If payment is not made after the deadline and the invoice remains unpaid, we will send collection notices (e.g., 1/3/7 days after the deadline).

5-3. Recovery (Reactivation) #

  • Even after expiration, depending on the TLD, the domain may be recoverable for a certain period with additional fees.
  • However, recovery availability, period, and costs depend on third-party organization rules, and we cannot guarantee recovery.
  • Domain recovery after expiration may take time. If service continuity is critical, we strongly recommend renewing before the deadline.

6. Important Notes on Cancellation and Refunds #

  • After registration is complete or renewal is complete, cancellation and refunds due to customer circumstances are generally not possible due to third-party specifications.
  • Even before procedures begin, if we have already paid third parties for actual costs, such amounts may not be eligible for refund.
